Job purpose

We are looking for a skilled Payroll and HR administration colleague with generalist HR social legislation
knowledge to be responsible for administrative HR tasks, assisting with payroll, advising staff on policies
and procedures and contributing to various HR initiatives.
ClientEarth’s Global People & Culture Department supports our c.300 employees, enabling them to
deliver our mission – using the power of the law to bring about systemic change that protects the Earth for
– and with – its inhabitants.
You will be working within the People business partner model, to support our team in Brussels (currently
ca. 60 employees) in the provision of a comprehensive People service in order to support the achievement
of our organizational goals.
You will also be working closely with other members of the Global People & Culture Team. You will act as
the first point of contact for day-to-day HR administration needs of the Brussels team.

Working relationships

The People Officer will report to the Brussels People Business Partner and have a dotted line to the
Head of Office in Brussels. They will work closely with all other members of the global People & Culture
Team, currently consisting of 15 colleagues. In addition, the post holder will build and maintain credible
professional relationships with staff and managers across ClientEarth particularly within the Brussels
office.

Key responsibilities

Provide day-to-day HR administrative support which is fully compliant with local employment laws
covering the following:

Payroll and HR Administration

• Maintain employee records according to legal requirements
• Recording employee-related data in HR Information System (Personio)
• Coordinate the provision of accurate and timely monthly payroll information, changes to conditions
of employment, ensuring related documents are issued and information is recorded and processed
in a timely and accurate manner
• Liaise with the external payroll services provider
• Undertake sickness/absence administration
• Support the completion of timesheets

Employee Onboarding

• Prepare contracts of employment and addendums, complete HR on-boarding, including
carrying out HR inductions with new joiners and compilation of labor documentation
• Support line managers to prepare and action onboarding plans for new joiner
• Contribute to keeping our handbook for employees up to date on HR matters and policies.

Additional duties

If the successful candidate is able to deliver their Payroll, HR Administration and Employee onboarding
duties to a high level, there may be the possibility to be involved in additional People & Culture projects,
including:
• Contribute to Belgian or global HR projects such as the rollout of further Personio modules to
support the HR work, or actualization of the global handbook, optimizing the payroll processes,…
• Support training initiatives and administration
• Assist in implementing the new legislation in statutory entitlements and other relevant rights.

Education and training

• Qualified HR professional or equivalent work experience in Belgium (essential)

Experience & knowledge

• Good knowledge of Belgium employment laws and regulations (essential)
• HR Administration experience, consisting of
o Running monthly payroll
o Preparing employee contracts and variations
o Updating and maintaining employee records (files and data in HRIS)
• Understanding of how to work with confidential information (essential)
• Experience of providing day to day HR advice & support to colleagues and managers (essential)
• Understanding and commitment to equality, diversity & inclusion (essential)
• GDPR knowledge (desirable)

Competencies

 

• Fluent (CEFR level C1) in English (essential),
• Good professional working knowledge of French and/or Dutch
• Excellent self-organisation with the ability to set priorities and manage multiple tasks, working well
